 A. BEFORE THE PROPOSAL

A1. Are there any nationality restrictions to apply for funding?

Yes. Click here to see the answer to your question.

A2. Is a candidate who has just started his Doctoral project eligible?

No. The AXA Research Fund aims at supporting projects from their beginning.  If the candidate is already engaged in a Doctoral program, the only way to be eligible is to start a new Doctoral project/program (It has to be somehow different).

A3. Are there any restrictions for AXA Research Fund grant candidates?

The AXA Research grant is incompatible with a permanent position. Therefore, the applicant shall not have a permanent position, and if he/she has the opportunity to get a long-term contract, he/she needs to notify the AXA Research Fund and resign the fellowship.

A4. If a Candidate’s application is unsuccessful, can he reapply for future Ph.D campaigns?

A candidate can reapply for future calls at the AXA Research Fund only if he/she presents a different project. A candidate cannot present the same project twice. Nevertheless it can be on the same subject, but it has to be substantially different (scope, methodology, etc).

A5. Who are the eligible candidates for funding?

The AXA Research fund supports both:
- Candidates wishing to do a Ph.D in an Institution established in supported countries by the AXA Research Fund (please read the following list http://www.axa-research.org/requirements-for-any-application second paragraph)
- Candidates who are citizens of the countries that the AXA Research Fund supports (please read the following list http://www.axa-research.org/requirements-for-any-application second paragraph).

For instance, a Canadian can be eligible if he applies through a German Institution. And, a Dutch can apply for a Ph.D in an US Institution.

A6. As stated in the Modus Operandi, to be eligible, the PhD candidate should not be already engaged in a PhD program. If a candidate registers in a PhD program between the submission and the results annoucement, would he still be eligible?

We always fund research project from their beginning. Thus, if a candidate is registered in a PhD program and is already engaged in his/ her research project, he/she will not be eligible.  

  1. B. APPLICATION FORM AND PROCESS

Round 1

B1. Institutions allowed to submit a proposal are selected in the first round. What are the criteria to select them?

This selection is primarily based on academic excellence of the institution in the fields where it wishes to apply, as assessed by the Scientific Board. Please note that the list of selected institutions is established to ensure a balance of applications between the three clusters of risks defined by the AXA Research Fund (see Modus Operandi Call for Projects, section 3.2). Moreover, the record of applications submitted in the past by the institution is taken into account (dynamism in the previous campaign is an asset). The AXA Research Fund also wishes to give a chance to newly registered institutions.

B2. In 1st round of application process, institutions are expected to select from 1 to 12 research fields where it might submit applications. Why are there only 10 research fields listed in the eligibility section of modus operandi?

 
The online application forms listing the 12 research fields are accessible on the opening day of each campaign. These research fields (Biology & Biochemistry, Biology & Genetics, Immunology, Microbiology, Neuroscience & Behavior, Psychiatry & Psychology, Environment & Ecology, Geosciences, Plant & Animal sciences, Economics & Business, Social Sciences, Mathematics) are discipline centric.
The 10 research fields listed in the eligibility section of modus operandi are rather risk type centric.

B3. After the first round, my institution was not allowed to propose a candidate: does it mean that the candidate will never be able to take part to an AXA Research Fund campaign?

The results of the first round are only to be considered for this specific campaign. It is not a value judgement since we may have not been able to allow you to propose candidates, because the field you announced your candidate is overrepresented for this campaign. You still have all your chances for the other campaigns of the year and for those in the future.

B4. When will a candidate receive the results of the first round ?

The information regarding the number of applicants will be provided at the opening of the second round.

B5. Will AXA Research Fund provide the 12 research fields of the 1st round ? And when?

The online application form with these 12 research fields will be accesible on the opening day of future campaigns. The Institution Representative willing to apply for a PhD campaign will have to select from 1 to 12 of the following research fields on the online form (same for Post-Doc and Project's campaigns) :

  • - Microbiology

B6. If the free texts are not mandatory, is there a reason to write them ? Who is going to read them ?

The Institution has the opportunity to write a free text on its strengths. The aim of these free texts is to add a further piece of information in cases when the information about the excellence of Institutions  (publication records in the relevant fields, notoriety among peers...) is not sufficient to make a final decision. In this case, the free texts will be read by the AXA Research Fund Team and the selection experts of the first round.

Round 2

B7. How does a candidate know when he/she has been proposed by his/her Institution?

Once the candidate(s) is (are) registered by the Institution’s operational contact, an email is sent automatically and directly to the candidate(s) with all the necessary details for accessing the application form (URL, username and password). A confirmation of registration is also automatically sent to the operational contact of the Institution.

B8. Is there a compulsory structure for the documents of the application?

The detailed description of the Ph.D project must be less than 4 pages long. A bibliography might be added to the same document but will not be taken into account in this 4 pages maximum. The advised “police” is Arial 10.
The CV must be detailed and must contain a list of your best publications (4 pages maximum for the publications).
It is mandatory to include all the items in PDF. All documents must be in English.

B9. Is it possible to include an agenda of the research project? If yes where?

It is highly recommended that one of the additional documents be an agenda but it is not an obligation. It can permit to show how the candidate will proceed with his/her proposal. The agenda can be added either at the end of your Ph.D project (without belonging to the limited pages) or in the additional documents.

B10. Where can the additional documents be uploaded on the platform?

The additional documents allow the illustration of the research work of the candidate. It can be a summary of the thesis, abstracts from any publications or releases, budget... The candidate can upload up to 3 additional documents in the section “Candidate’s previous research studies” located in “Other research experience”. The candidate has to make sure that the total length of ALL the additional documents does not exceed 20 pages, otherwise, they will not be considered. It is 20 pages for all documents and not 20 pages PER document (or 60 pages).

B11. Is it advisable to include preliminary data?

We do not have specific guidelines on this. We recommend the candidate add it only if he/she thinks it will give additional strength to his/her proposal.

B12. My application has not been selected. May I get some feedback to understand the reasons why?

We can give you some highlights of the referees and of our Scientific Board assessments for you to better understand why your application has not been selected and to improve any further application with us. As the first step of selection by the AXA Research Fund is done by the academic institution itself, all feedbacks are sent through the channel of the Operational Contact. That's why, to get this feedback, your operational contact must send us to the email address dedicated to communication with operational contacts (which, in case he/she does not know it, he/she can find in the application platform using his/her registration codes) an email entitled "Feedback PhD (year) - (Name of the applicant)". Please note that since many of you are asking such feedback, we might need a few weeks to send it.

  1. C. SELECTION CRITERIA

C1. What does "citizen" mean exactly?

By citizen of a country, we mean a person whose nationality is from this specific country.

 

  1. D. CONTRACTING / FOLLOW UP

D1. What is the deadline for starting the Ph.D funding if the project is selected?

Should you project be selected for a grant, the deadline for starting the Ph.D is 6 months after the publication of the results.

D2. Is there a possibility for Institutions hosting AXA grantees to pay them a stipend instead of a salary attached to an employment contract?

Stipends are allowed as long as they respect the minimum of €35,000/year

D3. How is the Ph.D fellowship composed? Are indirect costs included? 

For your information, our Ph.D fellowship comes with a maximum of €120 000 for the entire duration of the funding and covers the following:
- The annual gross salary of the Ph.D researcher, with a minimum of €25 000
- The coverage of any additional costs incurred by the Ph.D researcher in relation to the research, provided that expense receipts are submitted (colloquia, travels etc.) and limited to €1 000 maximum per year
- A maximum of €14 000 per year for related fees and incidental expenses paid to the host institution, used to cover all or some of the expenses related to the Ph.D research (employer’s tax, tuition fees, bench fees, consumables, summer schools, fieldwork etc.)

NB: Incidental expenses must be directly related to the research project the AXA Research Fund has selected. No overheads are accepted.

Please note that the following indirect costs are not eligible:
- Costs related to general administration and management
- Costs of office or laboratory space including rent or depreciation of buildings and equipment and related expenditure such as water, heating…
- Maintenance, insurance and safety costs
- Communication expenses, network connection charges, postal charges and office supplies
- Common office equipment such as PC’s, laptops, office software
- Miscellaneous recurring consumables.

 D4. Are the fellowships transferable across Institutions ?

It is not possible to transfer the fellowships across Institutions. The selection of proposals is focused on three different criteria that are equally relevant : the innovative and originality of the project, the academic excellence of the candidate and the International scope of the host research laboratory. The excellence of the host Institution is one of the three criteria that is why the fellowships can not be transferable across Institutions.

Can you please advise what is considered 'clinical oriented'? Would a trial of a school-based prevention programme for at-risk adolescent girls be considered 'clinical'? (Participants are identified as at-risk by teachers but currently don't meet criteria for any diagnoses, the aim is to prevent behavioural and emotional problems from developing). Thanks.

Our understanding of clinical research is the following: a research project aiming at understanding the basic mechanisms of a disease and its impact of health is considered fundamental, however, if the research aims at designing drugs to treat this disease, it will be considered clinical. I am contacting you today with a rather urgent question concerning the PhD fellowship call for 2012. Our institution has been selected to propose a candidate to the next round of selection. Our candidate is already registered in the CyI PhD program but has not yet started the research project which will be proposed in his AXA application. An AXA PhD fellowship will then allow the start and development of this new research project and as such, the AXA research fund will then finance this project from its beginning to its end. @Pauline: The AXA Research Fund is looking to finance research projects from beginning to end. So technically if the student in question has not started his research project, he is eligible for funding with us. However, given that he is already involved in a PhD programme, he should be very clear about the starting date of his research project (vs. his registration in the PhD programme) in his online application. @ Rachel: "non-conflicted referee's suggestions" means that we're asking you to recommend potential reviewers for your application, but that these academics shouldn't have any conflict of interest with the application (they shouldn't have worked with you, published with you, been your professor or a former advisor). Dear Axa Research Fund, I would like to ask a question related to my application for the second round. My research project is pluridisciplinary and for this reason, I have two thesis directors ( is often the case in Belgium). However,it is only possible to provide the name of one project advisor in the “thesis director and referent” part. What Should I do? It is possible to propose two directors? If it is possible, how should I do it? If it is not allowed, could I change the name of the thesis director given by my university? Indeed, the thesis director given is the first of the two project advisors in order of appearance in the intern candidature but he is a young professor which has just been hired but has less scientific experience than my second thesis director. @ Matthieu: We recommend you ask your second advisor to write the recommendation letter for you, you add his resume as one of the additional documents that can be attached to your application, and you make sure it is very clear in your final application that you have two thesis advisors. Dear AXA Research Fund, I could not understand what is meant by director's letter in the application form? Is it my advisor's (thesis director) recommendation letter or the faculty director's letter? Additionally, in the candidate's biographical sketch part after the name of the current institution it asks "current studies". Do you mean the name of the fields in the engineering faculty? Or, is the question related with the candidate?

Should it be my future thesis director since she is advising my masters thesis? Dear Axa Research Fund, Underneath the section of candidate's previous research studies it asks for the following: "Succinct and accurate description of the research work undertook during the Master (objectives, approach, outcomes of the dissertation) – max. 3000 characters spaces included" So far I have done one piece of research with another student in my year, and have not finished the official Masters thesis that is due in September 2012. Is it acceptable to write about outcomes of this joint research, rather than the outcomes of the masters dissertation (since this is still not finished)? Thank you very much, Peter

Hello, I have several questions. In "Institution info" part we are supposed to upload Director's letter, to whome does this refer - director of the department, director of the doctoral program or thesis supervisor? (I think "Muge" above didn't specify to which part Director's letter referred to). In the same part, number of students refers to the number of doctoral, master and/or undergraduate students? In "PhD candidate info", regarding Candidate’s previous research studies, in our master studies advisor has not been officially appointed, however there was a professor that followed it closely, should I put that person as Master thesis' advisor? @Ceyla & Hrvoje: There are three different letters required in your application (as explicitly specified in our modus operandi): a. A letter from the Dean of the University/the Head of the Department or of the Lab, certifying that the PhD student will benefit from good institutional support and will be able to get her/his project going in the best conditions. b. A letter from the student's PhD advisor/supervisor, which should be one of the two recommendation letters attached to the application. c. A letter from the student's previous advisor (or other reference person), which should be the second recommendation letter attached to the application. We hope this clears out any confusion. @Celya: Regarding eligibility, our main concern is that the student should not have started their PhD research by the time they get our grant. Re: budget: all the money should be spent on the student's project per se, not on additional purchases for her/his lab as a whole.

RE: Ceyla & Hrvoje's questions. To clarify: 1) In the candidate's application, under the tab "institutional information", the "Director's letter" is to come from the Dean of the University or Head of Department or Lab, and this is different from the recommendation letter that comes from the PhD advisor, which s/he uploads himself. So if my PhD director IS the laboratory director and the head of the institute, I should ask another official to write the institutional "director's letter"? 2) On the candidate's application under the "thesis director and referent" tab, you ask for the Thesis director's resume and publication list: is this really for the candidate to acquire and upload even though the thesis director also uploads his own CV, complete with publications, in his portion of the application? @Allyn: The letter from the head of the department has an entirely different purpose than the one from the thesis advisor (cf. our previous answers on this page). Thus even if it is the same person writing them, the letters will be very different. Hello, I have a couple of questions to ask you: (1) In application, I am required to provide the name of current institution (current studies). I graduate from the university few months ago. My AXA application goes through other university, so currently I am not a student and do not belong to any institution. What should I write then? (2) I am also asked to provide "Succinct and accurate description of the research work undertook during the Master (objectives, approach, outcomes of the dissertation)": I have two master's degrees (both of them included research component). Should I describe both of my thesis or only recent one? Thank you!

Sorry, it seems I have one more question to ask: (3) In FAQ it is stated that " A bibliography might be added to the same document [proposal] but will not be taken into account in this 4 pages maximum." Does it mean that the references won't be considered and are not needed? Or perhaps I am expected to attach them together with additional documents? Looking forward your reply!

(2) It is up to you to make the most strategic choices in order to highlight the strong points of your application in this case. I would like to have clarification on the following: Section 1: Information on the institution and the laboratory hosting the PhD candidate: you ask a letter by the director of the institution (am I the one to upload it?) Section 2: Information on the thesis Director: it seems like he must do it himself, so how will he have access to my account? Am I allowed to communicate my account name and password? @Sandrine: (1) It is up to the candidate to upload the letter from the Head of the institution. (2) The candidate fills out the first part of Section 2, as well as the name, position and email address of the thesis advisor. Then the thesis advisor uploads her/his letter of recommendation her/himself, using her/his own login information. (3) You can ask another referent to write your second letter of recommendation if our suggestion of asking your Master's advisor does not apply in your case. Dear Axa Foundation, In the discussion on your FAQ - Doctoral Fellowship page you have stated that "You do not have to provide a detailed budget of your research project. All AXA PhD grants provide the selected PhD students with the same stipend." Can I please clarify what information it is that you are asking to be included in the executive summary of the proposed work when you ask for information on the budget? Is this just an indication of how the €1000 per year additional cost will be spent?

Dear AXA Research Fund, Can you please clarify 2 points for me. (1) As stated in the Modus Operandi,the candidate must submit, "an executive summary of the proposed work (long term objectives, specific aims, preliminary studies, research design and methods, budget - max 4800 characters including spaces)" However, on 19/03/12 the following appears: "@Ceyla: You do not have to provide a detailed budget of your research project. (2) If we are to provide a budget, then which document, the detailed project description or the executive summary, should it appear in. In the Modus Operandi, it says the budget should be placed under the executive summary. However online, where one is to upload the executive summary, there is no mention of a budget listed as a necessary point. Please advise.
