  1. A. BEFORE THE PROPOSAL

A1. Are there any nationality restrictions to apply for funding?

Yes. Click here to see the answer to your question.

A2. Is a candidate who has just started his Post-Doctoral project eligible?

No. The AXA Research Fund aims at supporting projects from their beginning.  If the candidate is already engaged in a Post-Doctoral program, the only way to be eligible is to start a new Post-Doctoral project/program (It has to be somehow different).

A3. Are there any restrictions for AXA Research Fund grant candidates?

The AXA Research grant is incompatible with a permanent position. Therefore, the applicant shall not have a permanent position, and if he/she has the opportunity to get a long-term contract, he/she needs to notify the AXA Research Fund and resign the fellowship.

A4. Is it possible to apply for a Post-Doctoral fellowship for a project of less than the 2 years?

Yes, it is possible to reduce the duration of Post-Doctoral until 1 year (with a prorata funding). Please be aware that the duration of the funding is definitive and cannot be modified afterwards.

A5. If a Candidate’s application is unsuccessful, can he/she reapply for future Post-Doctoral campaigns?

A candidate can reapply for future calls at the AXA Research Fund only if he/she presents a different project. A candidate cannot present the same project twice. Nevertheless it can be on the same subject, but it has to be somehow different (scope, methodology, etc).

A6. What is the deadline for starting the Post-Doctoral funding if the project is selected?

Our Modus Operandi states that “In order to be eligible to apply, the candidates must have defended their Ph.D thesis before the beginning of their Post-Doctoral grant”. However, the period between the date on which the AXA Research Fund announces the results of its selection process (on December 21st for the 2011 Post-Doctoral campaign – wave 2) and the starting date of the Post-Doctoral can be up to 12 months.
It means that the candidate must have defended their Ph.D thesis in time to start their Post-Doctoral maximum 12 months after the results have been published.

A7. Who are the eligible candidates for funding?

The AXA Research Fund supports both:
- Candidates wishing to do a Post-Doctoral in an Institution established in supported countries by the AXA Research Fund (please read the following list http://www.axa-research.org/requirements-for-any-application second paragraph)
- Candidates who are citizens of the countries that the AXA Research Fund supports (please read the following list http://www.axa-research.org/requirements-for-any-application second paragraph).

For instance, a Canadian can be eligible if he applies through a German Institution and a Dutch can apply for a Post-Doctoral in an US Institution.

A8. What does “the date of registration for a Ph.D” mean? Is it the date of the start of the Ph.D project or is meant the date of receiving the Ph.D?

The date of registration for a Ph.D refers to the enrollment date of the Ph.D.

A9. Can a current AXA PhD Fellow submit an application for an AXA Post-Doc Fellowship?

Yes. Our Scientific Board has made it clear that having been funded by AXA in the past and resubmitting an application for another funding scheme again at some point was not incompatible. For example, the fact that a candidate already has a PhD fellowship does not make him/her ineligible to apply for a Post-Doctoral grant. A former AXA funding will not influence (nor positively nor negatively), the outcome of any future selection.

 However, please note that the usual selection criteria will apply (like International mobility).

 

  1. B. APPLICATION FORM AND PROCESS

Round 1

B1. Institutions allowed to submit a proposal are selected in the first round. What are the criteria to select them?

This selection is primarily based on academic excellence of the institution in the fields where it wishes to apply, as assessed by the Scientific Board. Please note that the list of selected institutions is established to ensure a balance of applications between the three clusters of risks defined by the AXA Research Fund (see Modus Operandi Call for Projects, section 3.2). Moreover, the record of applications submitted in the past by the institution is taken into account (dynamism in the previous campaign is an asset). The AXA Research Fund also wishes to give a chance to newly registered institutions.

B2. After the first round, my institution was not allowed to propose a candidate: does it mean that the candidate will never be able to take part to an AXA Research Fund campaign?

The results of the first round are only to be considered for this specific campaign. It is not a value judgement since we may have not been able to allow you to propose candidates, because the field you announced your candidate is overrepresented for this campaign. You still have all your chances for the other campaigns of the year and for those in the future.

B3. When will a candidate receive the results of the first round ?

The information regarding the number of applicants will be provided at the opening of the second round.

B4. Will AXA Research Fund provide the 12 research fields of the 1st round ? And when?

The online application form with these 12 research fields will be accesible on the opening day of future campaigns. The Institution Representative willing to apply for a Post-Doctoral campaign will have to select from 1 to 12 of the following research fields on the online form (same for PhD and Project's campaigns) :

B5. In 1st round of application process, institutions are expected to select from 1 to 12 research fields where it might submit applications. Why are there only 10 research fields listed in the eligibility section of modus operandi?

 
The online application forms listing the 12 research fields are accessible on the opening day of each campaign. These research fields (Biology & Biochemistry, Biology & Genetics, Immunology, Microbiology, Neuroscience & Behavior, Psychiatry & Psychology, Environment & Ecology, Geosciences, Plant & Animal sciences, Economics & Business, Social Sciences, Mathematics) are discipline centric.
The 10 research fields listed in the eligibility section of modus operandi are rather risk type centric.

 

B6. If the free texts are not mandatory, is there a reason to write them ? Who is going to read them ?

The Institution has the opportunity to write a free text on its strengths. The aim of these free texts is to add a further piece of information in cases when the information about the excellence of Institutions  (publication records in the relevant fields, notoriety among peers...) is not sufficient to make a final decision. In this case, the free texts will be read by the AXA Research Fund Team and the selection experts of the first round.


Round 2

B7. How does a candidate know when he/she has been proposed by his/her Institution?

Once the candidate(s) is (are) registered by the Institution’s operational contact, an email is sent automatically and directly to the candidate(s) with all the necessary details for accessing the application form (URL, username and password). A confirmation of registration is also automatically sent to the operational contact.

B8. Is there a compulsory structure for the documents of the application?

The detailed description of the Post-Doctoral project must be less than 4 pages long. A bibliography might be added to the same document but will not be taken into account in this 4 pages maximum. The advised police is Arial 10. The CV must be detailed and must contain a list of your best publications (4 pages maximum for the publications). It is mandatory to include all the documents in PDF. All documents must be in English.

B9. Where can the additional documents be uploaded on the platform?

The additional documents allow the illustration of the research work of the candidate. It can be a summary of the thesis, abstracts from any publications or releases, budget... The candidate can upload up to 3 additional documents in the section “Candidate’s previous research studies” located in “Other research experience”. The candidate has to make sure that the total length of ALL the additional documents does not exceed 20 pages, otherwise, they will not be considered. It is 20 pages for all documents and not 20 pages PER document (or 60 pages).

B10. Does “participation in colloquia” also include presentations in conferences, workshops etc?  

Yes. It does indeed include presentations in conferences and workshops. What matters here is the academic impact of the event rather than the type of event itself.

B11. Does “published in extenso” also include e.g. book chapters, dissertations, nationally peer reviewed papers?

It indeed includes book chapters and nationally peer reviewed papers but it excludes dissertations.

B12. Are the references included in the maximum of 4 pages detailed description of the project?

No, the maximum of 4 pages detailed description of the project are apart from the references.

B13. Is it advisable to include preliminary data?

We do not have specific guidelines on this. We recommend the candidate to add it only if he/she thinks it will give additional strength to his/her proposal.

B14. Is it possible to include an agenda of the research project? If yes where?

It’s highly recommended that one of the additional documents be an agenda but it is not an obligation. It can permit to show how the candidate will proceed with his/her proposal. The agenda can be added at the end of the Post-Doctoral project (without belonging to the limited pages) either in the additional documents.

B15. What does the abbreviation “4 Mo” mean?

4 Megabytes. Not 4 Megabits (which would be 0.5 Mbs).

B16 Does “please specify the name of the co-author” mean that you have to fill out their full first names as well or is a full reference enough?

A full reference is sufficient.

B17. My application has not been selected. May I get some feedback to understand the reasons why?

We can give you some highlights of the referees and of our Scientific Board assessments for you to better understand why your application has not been selected and to improve any further application with us. As the first step of selection by the AXA Research Fund is done by the academic institution itself, all feedbacks are sent through the channel of the Operational Contact. That's why, to get this feedback, your operational contact must send us to the email address dedicated to communication with operational contacts (which, in case he/she does not know it, he/she can find in the application platform using his/her registration codes) an email entitled "Feedback Post-Doc (year) - (Name of the applicant)". Please note that since many of you are asking such feedback, we might need a few weeks to send it.

  1. C. SELECTION CRITERIA

C1. What does "citizen" mean exactly?

By citizen of a country, we mean a person whose nationality is from this specific country.

C2. Are “International mobility” and “5 year maximum after Ph.D” eligibility criteria?

These criteria are valued but not required, hence, they are selection criteria rather than eligibility criteria. It means that a candidate who meets these criteria will have more chances to be selected in final selection stages among applications of equal academic excellence. In the case the candidate does not meet these criteria, this does not prevent him from applying.

Please note that our meaning of “International mobility” is a change of Institutions in two different countries. For example, a candidate enrolled in a Post-Doctoral program in a given country (for instance in the UK) will meet our “International mobility” criterion if the Post-Doctoral he/she is applying to is in another country (for example Italy).

About the second criterion: the application should be submitted within the five years following the Ph.D/Thesis.

 

  1. D. CONTRACTING / FOLLOW UP

D1. Is there a possibility for Institutions hosting AXA grantees to pay them a stipend instead of a salary attached to an employment contract?

Stipends are allowed as long as they are of a minimum of €35,000/year.

D2. Are indirect costs eligible under AXA Research Fund grants?

Related fees incurred by the Post-Doctoral researcher are part of an AXA Research Fund grant, amounting to €20,000 per year. They should be used to cover all or some of the expenses directly related to the Post-Doctoral research (employer’s tax, tuition fees, bench fees, consumables, summer schools, travel to scientific collaborators and fieldwork).

The following indirect costs are not eligible:
- costs related to general administration and management
- costs of office or laboratory space including rent or depreciation of buildings and equipment and related expenditure such as water, heating…
- maintenance, insurance and safety costs
- communication expenses, network connection charges, postal charges and office supplies
- common office equipment such as PC’s, laptops, office software
- Miscellaneous recurring consumables.

D3. Are the fellowships transferable across Institutions ?

It is not possible to transfer the fellowships across Institutions. The selection of proposals is focused on three different criteria that are equally relevant : the innovative and originality of the project, the academic excellence of the candidate and the International scope of the host research laboratory. The excellence of the host Institution is one of the three criteria that is why the fellowships can not be transferable across Institutions.

We are interested in participating to your new call for proposals and the University of Torino should already be registred on your web site. It is our intention to submit within Thursday 19th January an application form in all proposed research fields both for PhD and Post-doctoral fellowships. I understood that a free text is not mandatory, but it could help for the selection of the University, so I kindly ask you to give me some more explanation about what it is required to write there? In case the University of Torino would be selected, It is not clear if we could propose a number of students for each research field or the Institutions will be informed of the total number of applicants they may propose for the second round for the whole University. Concerning the starting date of the PhD, we are subject to an official calendar. At our University all PhD programs officially starts on January 1st, so how can we plan to use the Axa fellowship with reference to what explaned at point 3.1.3 of your call? @Boisard: Bonjour, le choix des champs de recherche à cocher dans le formulaire de candidature en ligne est effectivement limité à ces 12 disciplines. Cependant, si votre institution passe le premier round et soumet des candidatures pour le second round, il vous sera possible de proposer des candidats dont le projet se trouve hors des champs sélectionnés. Le candidat est bien entendu le PostDoc. Pour les questions concernant les chaires, merci de bien vouloir les poser sur la FAQ relative aux chaires.

@Pachi: Dear Pachi, as for the question regarding the free text, please refer to answer B6 above. If your insitution passes the first round, it will be able to submit between 0 and 2 candidates for the second round of the campaign. So, this would be a maximum of 2 candidates for the whole university. The projects of the designated candidates don't have to be related to the selected research fields, which are meant to indicate the fields of excellence of your institution. Regarding the starting date of the PhD, I would like to draw your attention on the fact that the results of the campaign are communicated on June 29th 2012. So, if the PhD would start on January 1st 2013, this would be almost exactly 6 months between the communication of the results and the starting date of the PhD. If there are a few days beyond the 6 months limit, it won't be a problem. Many universities also choose to start financing the PhD program and try to get grants afterwards.

Hi, I am a post-doctoral researcher with just over 2 years since my PhD award. I wish to change field (although still within biomedical science) for my second post-doc but am not sure if the AXA scheme supports a change of career direction? The field I wish to move to is covered under your grant remit. @John: Thank you for your inquiry. There are no rigid demands either for the outlines of proposals or the mentions of outside professors in the proposals. As a rule, we recommend you use the outline that will best bring out the positive points in your application. Similarly, if mentioning the names of professors outside your home institution can help with the overall quality of your proposal, and give more information as to the overall feasability of your project, it can be a good idea to do it. Dear Sirs, According to the guidelines for the application to post-doctoral fellowships during the 1st campaign, I, as a candidate, should have received by now an e-mail with detailed information (URL, password, username) to access the application platform and fill in the necessary fields (CV, project proposal, etc.). My question is that the operational contact from my university is having trouble finding where she should propose me as a candidate, and in theory the deadline for that ends tomorrow, March 1st. Could you please tell me where exactly is the university supposed to propose me as a candidate?? @N: "non-conflicted referee's suggestions" means that we're asking you to recommend potential reviewers for your application, but that these academics shouldn't have any conflict of interest with the application (they shouldn't have worked with you, published with you, been your professor or a former advisor). Dear Sirs, I am also presenting a project with the same institution that will grant my PhD. Hence, there is no mobility involved. I am however planning to spend time in other institutions as a visiting scholar and conduct field research abroad. Is this allowed or is the candidate expected to be based in the sponsoring institution throughout the postdoctorate? Are there any rules concerning the mobility of postdoctoral fellows? Does the willingness to conduct research abroad compensate at least in part for the lack of international mobility in the project? @Eugenio: As long as you are still working full time on your postdoc project, and as the Fund is kept informed in due time, we see no problem with one of our grantees spending time in another institution as a visiting scholar. This will not however count as international mobility in the application. International mobility is a criterion that is valued in our selection process, but not required. Dear AXA Research Fund Team, I have an interest to apply for the AXA funding scheme during this round, and I would appreciate a clarification on the following two questions: 1. Is an astrophysics-related project limited to a subject on Solar Physics or Space Weather physics, or can also be on other astrophysical topics (for instance extragalactic astronomy using observations from space missions)? 2. A proposed project has to be formulated such that it uses a risk-oriented approach, as listed here: http://www.axa-research.org/areas-of-research-eligible-for-funding or, since it is a purely astrophysics topic, it doesn't have to follow such a formulation? Thank you very much in advance.

Dear AXA Resarch Fund Team! I am Zoltan and I would like to make an application for the Post-Doctoral Fellowship of the AXA Research Fund in the second wave. I have two important questions. I would be very thankful if you could answer them. 1, Which is the deadline of the registration of the Institute. Minimum three days before the opening day of the 1st round or minimum three days before the closing day of the 1st round? 2, Is the cancer research supportable by the Axa Research Fund and in which research area? Pierre-André Chiappori quoted AXA Research Fund as a model of corporate funding of research

Pierre-André Chiappori, Professor of Economics at Columbia University, just published a study about the funding of research. He was interviewed on BFM radio to briefly present its results and quoted Henri de Castries and the AXA Research Fund as a model of corporate funding of research.
