FAQ - Register an institution

First of all, please visit the Register an institution page.

Eligible institutions

A1. What do you mean by clinical research?

The AXA Research Fund wants to support fundamental research only, that's why and clinical oriented research is out of our scope. But we accept clinical research when it is similar to therapeutics: if your research aims at designing drugs to treat certain aging related diseases, it is considered clinical, whereas if your research aims at understanding the basic mechanisms of these aging related diseases and their impact on health, then it is fundamental.

A2. Do you fund research that is both fondamental and clinical?

Please note that our funding initiatives are restricted to Universities that are performing fundamental research only (non clinical).

A3. Can I register an "Asociacion/Foundation "?

The AXA Research Fund does not finance "Asociacions/Foundation " which are themselves sponsoring organisations.
Our funding initiatives are restricted to Universities that are performing fundamental research (non clinical).
However, we are open to participate as co-sponsors on projects presented by research institutions, as long as these projects enter into our thematic clusters.

A4. May I register a Department within the Institution?

We won't accept the registration of Departments into the University. The Headquarters of the Institution will be only considered. You have to apply via the host Institution.

A5. Can we register UMR or laboratories within the Institution?

UMR or laboratories are Departments into the University and won’t be accepted.
You have to register through the Institution or the Research Institution like (CNRS, INRA, INSERM…) it depends from which Research Institution you belong to.
For further information please check if your Research Institution is already registered (on our registration platform).

A6. Can we register our Hospital?

"Hospital" makes it ineligible to receive funding from us because we are only offering degrees and educational resources for science students, clinical trainees and health science professionals.
Should your community of fellows be interested in our current funding, they are very welcome to apply with us. They would have to do so via their host academic institution. Our funding initiatives are restricted to Universities that are performing fundamental research only(non clinical).
Please feel free to disseminate this information to your network.

A7. Do you accept structure that commercializes results and but do not perform education?

  • We finance only institutions that perform research in the interest of research, rather than to meet the needs of a client. If the organization does not provide education below the graduate level, or is not purely research oriented, you can’t register. In the institutions we currently finance, the professor receiving a grant will not only contribute to research in his or her field, but also to education.

Operational contact

B1. Do you accept the same person as Legal Representative and as Operational Contact?

First and foremost, and in accordance with the highest authority of the Institution, you need to identify a single point of contact for the AXA Research Fund within the Institution. The most suitable person would be, for example, the Head of Corporate Relations, the Head of Fundraising, the Head of Research, etc.

The Legal Representative should be:

the senior officer i.e. the highest operational representative of the Research Institution. Depending on the institution and the country, he/she may be Vice-Chancellor, Chancellor, Rector, chaiman of the Board of Directors, President, Director General.

The role of the operational contact will be to:

-          Register the institution
-          Gather information from the AXA Research Fund and cascade it within the institution
-          Pre-select applications for grants, chairs and endowments within the institution: centralize internal applications after a pre-selection operated by the administrative officer and the head of the academic department; communicate the pre-selected internal applications to the Fund
-          Communicate the results of the selection to the candidates of his/her Institution when informed by AXA Research Fund
-          After selection, coordinate legal and administrative tasks: fill in agreement/ contracts in collaboration with the necessary departments of the institution (legal, finance, HR, etc.); monitor partnership implementation
-          Monitor global relationship with the AXA Research Fund and ensure optimal quality and consistency of submitted proposals

B2. Do we have to inform you if the Operational contact has been changed?

This data base must be up-dated for you and us. Please informed us as soon as there is a change by leaving a comment at the bottom of this page. to up-date the new operational contact, thank you to give the following details: last name, first name, position title, email address, phone number postal address if different.

B3. How can I have the name of the Operational contact?

Please use the registration platform search engine.

B4. Which email address is valid?

We don't accept email address without the name or the initials of the Institution. For example, Oxford University:
Correct address: xxxxxxx@ox.ec.uk
Incorrect address: xxxxxx@gmail.com

B5. Could you send me my login and password?

As soon as your Institution has been validated the Operational Contact receives a Login and a Password. If these two codes are lost they will be given at only the operational contact for privacy issues. He can get them back by using the recovery tool on the home page of the application website.

Already registered?

C1. How do I know if my institution is already registered?

First, please check the information by using this search engine.
Then, if you do not see your Institution on the list, click here to register.

C2. Do we have to register our Institution for each campaign?

You only need to register your Institution once. Such registration is valid for all future campaigns.

C3.  How do I see and update data regarding a registered institution?

In order to update data with regards to a registered institution, for instance a change in the legal representative, operational contacts only can access to the tab “See and update your registered institution data”

Please make sure you click on the update button at the bottom of the form.

C4. My institution has been registered for a long time. As an operational contact, do I need to urgently update data regarding the disciplinary fields of my institution prior to the opening of the first round of applications?

As we reshaped our institution details form, you have yet the possibility to capture the main disciplinary field of your institution. You are given this opportunity in the tab “update institution” using the radio button entitled “check your domains”

If your institution has been registered with us for a long time, please note that you do not need to update the main disciplinary fields of your institution prior to the opening of the first round of application.

However, please make sure that you tick the research fields of your institution when you will apply for the first round of the campaigns (Tab “apply for first rounds”).

Registration platform

D1. Does the "Year budget" mean the budget dedicated to research, not whole yearly budget? What is the currency? How to write it?

Indeed, we ask only for the yearly research budget. Please indicate the amount in Euro currency, without any letter, space, ponctuation mark. Please follow the exemple: 54000000000

Dear Sir or Madam, I contact you in relation with the Post-Doctoral fellowships 2013 campaign. We proceeded to fill in and submit the registration form of our institution (IDIBAPS, Spain) last 30 January in order to participate in the first round of applications but we don't have received the email with the login and password. Nevertheless, I have just checked that our institution already appears in your database. So, could you please confirm us that our institution has been correctly validated and inform us about the number of candidates we may present for this campaign? Thank you very much, best regards, Pablo Coret European and International Projects Unit

Dear Sir/ Madam, At mid-2012 we tried to get registered at the “AXA Research Fund” but it was not possible because you said that our institution does not fit on your profiles. We send you a clarification but we did not receive any answer. Currently there are some of our researchers that are inquiring us about it. The say that there are many institutions like ours that are registered (if you need it I can provide you some examples). They don’t understand why we are not registered, neither do I. Please can you review our application and find if there’s any issue that makes impossible for us to get registered. At your web page you say “reseach institutions” and we are a “public research institution” registered at EU and other RDI funding organisms. Do not hesitate to contact me in case you require any further infomation or evidence about our legal situation. Thanks for your attention. Yours, Jaume

Dear Madam/Sir, As I did not find this information on your website, I would like to ask if it is planned to open applications for PhD positions, as it happened in previous years. I am interested in the field of natural disasters management, therefore it is of interest for me to know about funding possibilities in this field. I also take the chance to ask about other possibilities of collaboration in projects regarding this thematic domain. Thank you in advance. Kind regards, Teresa Brás

Kinds regards, The AXA Research Fund Team >Best regards, >For any questions, you can write to: axaresearchfund@axa.com Dear Sir or Madam, I was involved in preparing nanoGUNE's application. I am not sure whether you aware that nanoGUNE is a research institute, a nonprofit organisation, focussed on basic research. We regularly apply for all types of student, postdoc, professor grants, EU grants, Spanish grants, local grants. The only restrictions we face are due to our non-university status (the local university UPV-EHU is a partner of nanoGUNE, but we are not integrated in the university). Hence may I ask you for some details about what you mean by "association"? We are certainly *not* a founding or sponsoring organisation, as specified in your FAQ. For example, do also Spanish CSICs, or the German MPIs, or the French CNRS institutes count as associations, and cannot apply? In advance, thank you for your answer! Hello, I have a question about the nomination form for the 2013 Research Awards and Outlooks. Could you please give me an idea of the type of information you are looking for in the “Succint rational and additional accurate information (max. 1000 characters)*” section? I’m not sure if we should be entering in information about the person (publications, etc), the research proposal, the alignment with AXA’s objectives, etc. Any advice you could offer would be appreciated.

Our university has been asked to nominate researchers for the 2013 Research Awards and Outlook Grants. Can you tell me what happens if someone is successfully nominated? Would they then be invited to submit a full research proposal?

Many thanks for the notice of the 2 new funding schemes , i.e. Award and Outlook May I double check how many academics Swansea University may nominate please? For example, under Life risks, may we nominate one individual for the Award call (Malleability of Aging) AND one individual under the Outlook scheme (Living longer, living better)? That is, are we permitted to submit a maximum of 6 or 3 academics? I look forward to your reply.
